Privacy notice

This explains what personal information I collect when you enquire, book or visit this website, what I do with it, and the choices you have. In short: I only use it to look after your wedding, I never sell it, and you can ask me to delete it.

Who I am

RE7 Photography is a wedding photography business run by me, Rob, based in Lichfield, Staffordshire. For the purposes of UK data protection law, I am the “controller” of the personal information described here.

If you have any questions about your information, email me at hello@re7photography.co.uk.

What I collect

When you send an enquiry: your name, your partner’s name, your email address, your phone number if you give it, your wedding date and venue, rough guest numbers, how you found me and anything you write in your message.

If you book: the details needed for your quote, contract and payments, such as your postal address and payment records, plus the plans you share for the day, like timings, group shot lists and contact details for key people.

On the day: photographs of you, your family and your guests.

When you visit the website: like most websites, my web host keeps standard server logs (your IP address, browser type and the pages requested) to keep the site secure and working.

How I use it

I only use your information for these purposes:

  • To reply to your enquiry and send a quote. The legal basis is taking steps at your request before entering a contract.
  • To photograph your wedding and deliver your photographs, including keeping in touch about plans. The legal basis is our contract.
  • To keep business and tax records. The legal basis is my legal obligations.
  • To show my work on this website, on social media and in wedding features, using a selection of photographs from your day. The legal basis is my legitimate interest in showing my work. You can ask me not to do this, before or after your wedding, and I’ll respect that.
  • To protect the website and the enquiry form from spam and misuse. The legal basis is my legitimate interest in keeping the site secure.

I don’t add you to a mailing list, I don’t sell your information, and I don’t use it to make automated decisions about you.

Who I share it with

I only share your information with the people and services I need to run the business, and only what they need:

  • my website host and email provider, which store the site and my emails
  • my online gallery provider, which hosts your finished photographs
  • a second photographer, if you book one
  • album and print suppliers, if you order a photo book or memory box
  • my accountant and payment providers, for bookkeeping and payments

Some of these services store information outside the UK. Where they do, the transfer is covered by UK adequacy regulations or the appropriate contract terms required by UK law.

I’ll also share information if the law requires me to.

Other services on this website

A few things on this website load from other companies’ servers, which means they receive your IP address when the page loads:

  • Google Fonts, which provides the typefaces used on the site
  • Behold, which shows my latest Instagram posts on the homepage

The site also links to Hitched, Instagram and Facebook. Their own privacy policies apply once you’re on their sites.

Cookies

This website doesn’t use advertising or analytics cookies.

The contact page sets one essential cookie while you fill in the form. It helps protect the form from spam and is deleted when you close your browser. Because it’s strictly necessary for the form to work, it doesn’t need your consent.

If I add analytics in the future, I’ll update this notice and ask for your consent first.

How long I keep it

  • Enquiries that don’t go ahead: deleted within 12 months.
  • Booking, contract and payment records: kept for six years after the end of the tax year they relate to, as HMRC requires.
  • Your photographs: I keep a backup after delivery, so I can help if you ever lose your copy. If you’d like your photographs deleted from my archive, just ask.

Your rights

You have the right to:

  • ask for a copy of the information I hold about you
  • ask me to correct anything that’s wrong
  • ask me to delete your information
  • object to, or ask me to limit, how I use it, including the use of your photographs to show my work
  • ask for your information in a format you can take elsewhere

To do any of these, email hello@re7photography.co.uk. It’s free, and I’ll reply within one month. Some information I have to keep by law, such as tax records, and I’ll tell you if that applies.

Complaints

If you’re unhappy with how I’ve handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

I’ll update this notice if anything changes, and the date at the top will show when it was last updated.
